The Client

A multi-branch highway safety contractor headquartered in Ohio. Roughly 300 field workers, more than 1,500 pieces of equipment, and thousands of estimates a year flowing through Trimble B2W. Viewpoint Vista is the accounting and payroll system of record.

The Challenge

Field operations ran on paper run tickets, spreadsheets, and text messages. Awarded estimates were re-keyed by hand into scheduling, job setup, and billing. Roughly one in three time punches needed a manual adjustment for union, prevailing-wage, and shift rules. Inventory was reconciled only at billing time, and finding a piece of equipment meant calling around.

On top of that, the company was migrating payroll and accounting onto Vista in parallel, with a fixed go-live date for both.

The Solution

One platform, the system of work, sitting between estimating and accounting. Vista stays the system of record; the platform captures what happens in the field and feeds clean data downstream. Two principles run through every module: every transaction is a job, and never block, surface for action.

  • Scheduling: crew and equipment assignment, shift lifecycle, conflict warnings, foreman notifications
  • Run tickets: pre-populated from the estimate’s line items and phase codes, quantity capture, review and kickback workflow
  • Equipment and resource planning: branch-aware records, transfers, and demand forecasting
  • Rental: rate cards, delivery, pickup, return, overdue and damage handling
  • Time keeping: multi-segment punches with union, prevailing-wage, and shift-override rules, storing raw and processed data
  • Native mobile app for phones, web app for tablets in the truck

The Integrations

  • Trimble B2W Estimate (live). Awarded estimates are imported through the B2W Estimate API, hundreds in the first pass, with line items and phase codes driving run-ticket pre-population. Revision handling was designed around the client’s own versioning practice rather than forced onto it.
  • Viewpoint Vista. Vista is the system of record for customers, jobs, and cost structures. Payroll export is phased to follow the client’s payroll migration, and billing data is pushed to Vista instead of re-keyed.
  • Fleet telematics. GPS geofences start a run ticket when equipment has been on site long enough to be working, verify that people and equipment are where the ticket says, and raise alerts for equipment left past a rental window or trackers that go offline.
